Data 🗂️

Under navigation item Data you find the customer data section. Here you can find all the data, that is collected in the chat. From customer data to uploaded assets to a runtime log.

Customers Tab

In the customer tab, you can view all customers who have registered via the sign-in module and have been active in the last 60 days. You can see the email address of these customers and when they registered.

Using the search bar, you can search for customers by their email address.

Delete Data Button

There are two ways to delete data. Either you delete individual customers using the button behind the corresponding customer or you delete all customers at the same time using the button at the top right. Please note that the deletion process is final. The data cannot be restored. If you do not delete the data, it will automatically be deleted after 180 days if the customer has been inactive during that time. If you want to know more about the GDPR regulations, you can request information by clicking the button in the top right corner.

Customer Detailed Information View

When you click on a customer's email, you will see all the personal data that the customer has already entered. In the variables section, you will see a timeline of which variables have been set for the customer. You can also download files that the customer has uploaded, such as audio recordings.

Consents Tab

In the consents tab, you can see which customer has given what kind of consent. The data is sorted by time and the timestamp indicates at which point in time the client gave the consent.

Using the search bar, you can search for customers by their email address.

You can also download all customer data as a CSV file.

Delete Data Button

Giveaways Tab

In the giveaway tab, you can manage your giveaways and draw winners. First, select the chatbot with the giveaway that you want to access.

In this section, you will first see all the winners that were drawn and below that all the participants. There is always an email address for each customer. You can also see all the personal data that has been entered via the corresponding modules. This includes, for example, the postal address.

In the area of drawn participations, you can draw as many winners as you want via the button 'draw participation'. You can also export the winners as well as all participants with their data as a CSV. To do this, click on the button for the participants or the drawn winners. The data will be automatically deleted 60 days after creation.

Participations Tab

In this area, you can see all participants. You can also see all the data that the participant has entered. If, for example, the participant was asked for the postal address in the chat, it will be displayed here. You can also see in which experience the customer took part in the competition and when. You can either delete the data individually via the bin symbol or you can delete all of them via the button 'Delete all entries' at the top right. If you do not delete the data yourself, it will be deleted automatically after 60 days.

Drawn Participations Tab

Here you can see all the participants that were drawn. You can see all the personal information that was asked for in the chatbot, such as the postal address. In addition, under 'created at' you can see when the participant was drawn and under 'participated at' when the customer participated. You can either delete the data individually via the bin symbol or you can delete all of them via the button 'Delete all entries' at the top right. If you do not delete the data yourself, it will be deleted automatically after 60 days.

Instant Win Tab

This area is structured in the same way as the tab for giveaways. The only difference is that there is no button for the winner drawing, as these have already been selected automatically.

Codes Tab

Manage Coupons Tab

First, select the experience in which you want to manage the coupons. You can add new coupons. To do this, either download the example CSV file using the button 'Download example CSV' and then upload it again using the button 'Upload CSV' or upload your CSV file using this button. CSV files can also be uploaded in the module itself. You can also see which coupons have already been awarded. You will receive the email of the coupon winner, when they received the coupon (issued at) and when the coupon was created. You have the chance to download the information as a CSV file. The coupon codes are then listed in the file. In addition, the winner and when he or she won the coupon is listed. You can either delete the data individually via the bin symbol or you can delete all of them via the button 'Delete all entries' at the top right. If you do not delete the data yourself, it will be deleted automatically after 720 days.

Manage Codes Tab

First, select the experience where you want to manage the codes. You can add new codes. To do this, either download the sample CSV file via the "Download sample CSV" button and then upload it again via the "Upload CSV" button or upload your CSV file via this button. CSV files can also be uploaded in the module itself. You can see which codes have already been awarded, how many points there are for each code, and whether you win with the code. You will receive the winner's email, when they redeemed the code and when the code was uploaded. You have the option of downloading the information as a CSV file. The file will then list the codes. In addition, it is indicated how many points are awarded for which code, and whether one wins with the corresponding code. If someone has redeemed a code, it also says when and with which email address. You can either delete the data individually via the bin symbol or you can delete all of them via the button 'Delete all entries' at the top right. If you do not delete the data yourself, it will be deleted automatically after 720 days.

Coupons Tab

In this section, you can see all the coupon codes from the entire tenant. For each code, you can see who won it and when. In addition, you can see in which experience it is awarded and when the coupon was added there. You can either delete the data individually via the bin symbol or you can delete all of them via the button 'Delete all entries' at the top right. If you do not delete the data yourself, it will be deleted automatically after 720 days.

Codes Tab

In this area, you have an overview of all codes in your tenant. For each code, you can see the number of points, whether you win with the code, the experience in which the code is assigned, and when it was added. You can also see who redeemed the code and when. You can either delete the data individually via the bin symbol or you can delete all of them via the button 'Delete all entries' at the top right. If you do not delete the data yourself, it will be deleted automatically after 720 days.

In this tab, you can see who has redeemed each reward. All the necessary information that is requested in the chat, such as the postal address, is displayed. You can download the data via the 'CSV export' button. You can either delete the data individually via the bin symbol or you can delete all of them via the button 'Delete all entries' at the top right. If you do not delete the data yourself, it will be deleted automatically after 60 days.

Redemptions Tab

In this section, you can see all customers who have redeemed a redemption. The overview is cross-processing. So that you know in which experience the reward was redeemed, this is shown next to the personal information. You can also see when the reward was redeemed. You can either delete the data individually via the bin symbol or you can delete all of them via the button 'Delete all entries' at the top right. If you do not delete the data yourself, it will be deleted automatically after 60 days.

Transactions Tab

In this area, you can see all transactions that have been made across all processes. This means that you have an overview of which customer has received or redeemed how many points. You can also see when and in which experience this happened. You can either delete the data individually via the bin symbol or you can delete all of them via the button 'Delete all entries' at the top right. If you do not delete the data yourself, it will be deleted automatically after 60 days.

Variables Tab

Export Variables Button

Select an experience and download all variables from this chatbot. In the document are all the variables that are automatically set by the system, such as 'firstname'. For variables that you have set yourself (e.g. in the questionnaire or via the variable module), you have to set that they should be saved in the database. By default, these are only stored in a cookie.

Files saved in variables cannot be included in the CSV export. Such variables are included as a URL. You can use this URL to request the contents of the uploaded files via the LoyJoy REST API.

Variables Table

In this area, you can view the last 100 variables set. Only variables that are set by the system or that have been set to be saved in the database appear here. The value of the variable is displayed and the experience in which the variable was saved. You can also see the appropriate process instance, the scope, and when the variable was created. With the button 'Delete all entries' you can delete all variables. They are automatically deleted after 60 days.

Files Tab

In this section, you can check whether files have been uploaded by the customer. You can only see the files themselves in the area of the customer who has uploaded a file. With the button 'Delete all entries' you can delete all variables. They are automatically deleted after 60 days.

Runtime Log Tab

The runtime log stores events, which have occurred for the tenant in the last 7 days. Typical log entries e.g. are that customers signed up in the chat, or that errors have happened when communicating with remote REST apis such as Salesforce.

For some log entries the log contains so-called trace IDs. Internally, LoyJoy applies OpenTelemetry to generate telemetry data for each process engine execution. When a process module calls a remote REST api (e.g. WebService module, API-Client module), it provides the trace ID as an HTTP header X-B3-TraceId to the remote REST api. The remote REST api then can store the trace id in its log file, thereby enabling correlation of LoyJoy log entries with log entries of the remote REST api.
